What are the Conference dates? 

The Conference will be delivered in a hybrid format on Wednesday, 30th - Thursday, 1st December 2022. The pre-conference workshops are held in person only on Tuesday, 29th November 2022 

How much does it cost to attend? 

Full details of the delegate fees for both in-person and virtual registrations are available on the 'Pricing' page of this website. 

Can I share my Full Conference Registration with another person? 

Splitting of full conference registrations is not allowed under any circumstances. Delegates who only wish to attend one day of the conference must register as day delegates. 

Can I just attend one session on one day of the Conference? 

No. The minimum registration for the conference is a Day Delegate Registration Package which covers one full day's conference attendance. Delegates cannot register to attend a single session or a half day session. 

Can I cancel my registration? 

All cancellations must be advised to GEMS Event Management Australia in writing via email to registration@gemsevents.com.au before the cancellation can be processed. Cancellations will not be deemed to be received until you have written confirmation from GEMS Event Management Australia. If you have not received acknowledgement within five (5) business days, please contact GEMS Event Management Australia on +61 2 9744 5252. If the cancellation is not received in writing, the registration fees will not be cancelled and full registration will still be payable. 

What is the cancellation cut-off date? 

Cancellations received in writing by the Conference Organisers before Tuesday, 11th October 2022 will be accepted and all fees refunded less an AUD$125 administration fee. Cancellations received after this date cannot be accepted and will not be refunded, however, transfer of your registration to another person is acceptable. The full name, address details and emergency contact of the new delegate must be advised in writing to the Conference Organisers prior to the Conference. Online registration received by GEMS Event Management Australia are considered to be confirmed by the delegate. No tentative bookings will be accepted. 

If I need to cancel my registration after the cancellation date, can another person from my organisation attend in my place? 

Yes. Such changes must be advised to GEMS in writing via email to registration@gemsevents.com.au by no later than 5 working days prior to the commencement of the Conference. 

Can I get a refund if I do not attend the Conference? 

No refunds will be made for non-attendance at the Conference and any unpaid registration fees will still be payable. In the case of medical emergency which has caused a registered delegate to not attend the Conference, the Conference Organisers must be provided with a medical certificate or appropriate documentation before any refund will be considered. Where the Conference Organisers are advised of a situation after the Conference, and a refund is deemed to be appropriate, the delegate must still pay the administration fee along with any catering charges incurred as a result of their registration for all catering events at which they were scheduled to attend. 

Can I cancel my accommodation booking? 

Cancellation Policy: Accommodation cancellations received within 60 days of the arrival date may incur a fee equivalent to 50% of the cancelled accommodation. Cancellations made less than 30 days prior to the arrival date will incur a cancellation fee equal to the 100% of the total accommodation fee. No refunds will be made for non-attendance and any unpaid accommodation fees will still be payable.

All delegates booking accommodation through GEMS Event Management Australia will be required to pay for their accommodation upon booking, covering those charges quoted in the accommodation rate. All delegates are responsible for payment of any additional charges on checkout of the hotel. 

Please contact GEMS Event Management Australia to cancel your accommodation prior to the Conference. If you need to cancel your accommodation booking at any time, a cancellation fee may be charged by the hotel, subject to the hotel cancellation policy. 

If you alter your accommodation booking after you have checked in, please deal directly with the hotel. If you arrive 24 hours later than your indicated arrival day, you may find that you have forfeited reservation and may have been charged a non arrival fee. 

Do the registration fees include insurance? 

Registration fees do not include insurance of any kind for delegates. It is strongly recommended that participants take out their own general travel insurance. It is suggested that the insurance policy should also cover loss of fees/deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expense. The insurance should cover loss arising from the cancellation of the Conference by the organisers or a person’s inability to attend due to any reason whatsoever. No responsibility is taken by the Conference Organisers for any person not holding insurance. 

How do I get to the venue?

What is the cost of parking at the venue?

Will there be Disabled Facilities available at the venue? 

If you require disability specific facilities, please notify the organisers by indicating your requirements on the registration form. 

What platform or software will you be utilising to deliver the hybrid Conference? 

The Conference will be using the OnAIR by EventsAIR Virtual Conferencing Platform. OnAIR is a cloud-based, virtual conference solution, so there is nothing to download. For the best viewing experience, we recommend using a supported internet browser, Google Chrome (preferred), Firefox or Edge Chromium. 

What setup do I need to attend the Conference virtually? 

  • A computer or laptop. (Note: whilst the platform does work on a tablet or mobile phone, we do not recommend these technologies for participation) 
  • A stable internet connection. We suggest closing any unused browsers/programs that could be draining on your internet bandwidth. 
  • Webcam, audio and mic. Whilst a webcam is not mandatory for participation, it can be used to participate in the networking sessions, meeting hub and exhibitor meetings for video calls. If using audio and mic, we recommend a headset. 

Will the sessions be pre-recorded or live for virtual attendees? 

The sessions will be a mix of pre-recorded and live, interaction with the presenter will be available via the Q&A, with interaction between attendees available via the Discussion Forums. All sessions will be recorded and made available via the OnAIR platform following the Conference. 

What if I have any issues with the OnAIR platform during the Conference? 

Live Support will be available via the OnAIR platform for the duration of the Conference. When you type and submit your request, a member of the GEMS Event Management Australia team will respond. Outside of the Conference hours, please contact registration@gemsevents.com.au
