For registration, sponsorship and exhibition bookings made within 30 days from the first day of the Congress on Tuesday, 3rd December 2024, invoices must be settled by Friday, 29th November 2024.

CANCELLATION POLICY
Registration Cancellations:
All cancellations must be advised to GEMS Event Management Australia in writing via email before the cancellation can be processed. Cancellations will not be deemed to be received until you have written confirmation from GEMS Event Management Australia. If you have not received an acknowledgement within five (5) business days, please contact GEMS Event Management Australia on +61 2 9744 5252. If the cancellation is not received in writing, the registration fees will not be cancelled and full registration will still be payable.
Registration cancellations received in writing by the Congress Organisers by Friday, 20th September 2024 will be accepted and all fees refunded less an AUD$125 administration fee. Cancellations received after this date cannot be accepted and will not be refunded, however, transfer of your registration to another person is acceptable. The full name, address and emergency contact details of the new delegate must be advised in writing to the Congress Organisers at least 5 days prior to the Congress.
Online registration received by GEMS Event Management Australia are considered to be confirmed by the delegate. No tentative bookings will be accepted. No refunds will be made for non-attendance at the Congress and any unpaid registration fees will still be payable.
Registration fees do not include insurance of any kind. It is strongly recommended that participants take out their own general travel insurance. It is suggested that the insurance policy should also cover loss of fees/deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expense. The insurance should cover loss arising from the cancellation of the Congress by the organisers or a person’s inability to attend due to any reason whatsoever. No responsibility is taken by the Congress Organisers for any person not holding insurance.
In the case of a medical emergency which has caused a registered delegate to not attend the Congress, the Congress Organiser must be provided with a medical certificate or appropriate documentation before any refund will be considered. Where the Congress Organisers are advised of the situation after the Congress, and a refund is deemed to be appropriate, the delegate must still pay the administration fee, along with any catering and collateral charges incurred for all events at which they were scheduled to attend.
Accommodation cancellations received within 30 days of the arrival date may incur a fee equivalent to 100% of the cancelled accommodation. Cancellations made less than 30 days prior to the arrival date will incur a cancellation fee equal to the 100% of the total accommodation fee. No refunds will be made for non-attendance and any unpaid accommodation fees will still be payable.
GOVERNMENT-IMPOSED RESTRICTIONS – EVENT POLICY
This event will comply with government requirements for health and safety as applicable at the time. This may mean that the format of presentations may change, depending on the circumstances. GEMS Event Management Australia will provide earliest possible notice to all stakeholders should this be necessary. This event is planned as an in-person event. If an in-person event is unable to proceed due to government-imposed health department restrictions, we will consider our options to either move to a virtual delivery platform or postpone to another time.
If due to government restrictions, the conference is held on the same dates but delivered in a virtual format, all registrations will be transferred to the virtual delivery platform. Cancellations after such time are still subject to our standard Terms and Conditions of Cancellation.
If the Congress has to be postponed due to Government-imposed restrictions, delegates will be notified immediately, and their registration transferred to the new date. If the new date is unsuitable, your registration will be refunded in full.
If you are unable to travel to the Congress due to Government imposed travel restrictions, you will be offered a full refund of your registration cost. Accommodation refunds will be subject to the hotel cancellation policy, with refunds due to Government imposed travel restrictions at the Hotel’s discretion.
The event organisers are not liable for any delegate, exhibitor, or partner travel and/or accommodation arrangements made, with the exception of those booked through the event registration form. Personal insurance policies should be referred to in these circumstances.
CODE OF CONDUCT
This Congress is dedicated to providing a safe and harassment-free experience for all participants, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate misconduct during the Congress or towards any participants in any form. Inappropriate language and imagery are not appropriate during the Congress, including talks, workshops, social events, social and other online media. Congress participants violating these rules may be asked to leave the Congress without a refund at the discretion of the Congress organisers.
If you notice or experience any form of misconduct during the Congress, or have any other concerns, please contact a member of GEMS Event Management team immediately. Congress staff can be identified by branded clothing and/or badges.
Congress staff will be happy to help participants contact hotel/venue security or local law enforcement, provide escorts, or otherwise assist those who may feel unsafe during the Congress.
It is expected that all Congress participants follow these rules at both official Congress sessions/venues and related social events.
PHOTOGRAPHY AND VIDEOGRAPHY
Please note that by attending the Congress, participants do hereby give permission to the Adolescent and Young Adult Cancer Global Accord to use any photos/recordings taken during the Congress which contains their likeliness in any respectable manner, without compensation or reward. This includes, but is not limited to, the use of these photos in promotional material, in print or electronically.
COMMUNICABLE DISEASE CONTROL
The Global Adolescent and Young Adult Cancer Congress has taken preventative measures to reduce the spread of communicable disease including, but not limited to COVID-19. However, I acknowledge that the Organisers cannot guarantee that I will not be exposed to or contract a Communicable Disease at the Congress. I understand that attending the Congress could increase my risk of contracting a Communicable Disease due to the nature of the facilities, services and programs offered at the Congress.
